We respect your privacy.

Palomar does not collect personally identifiable information from individuals on our website unless they provide it to us voluntarily and knowingly. We do not require you to register or provide information in order to view our site.

We only collect personally identifiable information that is voluntarily provided.

We only gather personally identifiable data, such as names, addresses, zip/postal codes, email addresses, etc., when voluntarily submitted by a visitor. For example, personally identifiable information may be collected in order to respond to a request to volunteer at Palomar, to receive the newsletter, or to make a financial contribution online.  This information is used solely by Palomar or other entities who are directly involved with our operations.

Technical information is automatically collected so we can improve content on our website.

Our web servers automatically collect non-personal and de-identified information such as: the domain name of the Internet access provider, the Internet protocol address used to connect the computer to the Internet, the average time spent on our website, pages viewed, information searched for, access times and other relevant statistics.

Palomar will NEVER sell  your information to third parties.

We will only share personally identifiable information with third parties when (i) the person submitting the information authorizes us to share it; (ii) sharing the information is a necessary operation of the site, for instance, to process a credit card transaction, or (iii) we are required to by law. Palomar has no control over or responsibility for the data collection and use practices of third parties that process online donation credit card transactions.

We use secure services to process your donations. Only information required to process credit cards is required.

When you make a donation on Palomar’s website by clicking the Donate link in the menu, we must share some of your personally identifiable information with third parties in order to process the transaction.  For example, we must share your credit card number with our credit card processor in order to process your payment. These third parties are not allowed to use personally identifiable information except for the purpose of providing these services. We do not share any of your personally identifiable information with unrelated third parties for their own marketing purposes without your consent. Our partners in processing your credit card gift employ a Server Digital Certificate and the Secure Sockets Layer (SSL) Protocol to encrypt all data traffic. They use high grade encryption and the https security protocol to communicate with your browser software. This method is the industry standard security protocol, which makes it extremely difficult for anyone else to intercept the credit card information you send us. If you feel more comfortable, you are also welcome to call us directly at 405.552.1010 to make a donation.

We are required by law to report abuse or threats of harm in some cases.

Palomar and partner agencies are required by law to report suspected child abuse and neglect, threats to harm yourself or others, suspected abuse or neglect of an elderly or vulnerable adult, and when ordered by a judge.

We link to sites we believe to be responsible and secure, however we are not responsible for their practices.

Our site and services offer links to other websites. Please note that when you click on one of these links, you are entering another website for which Palomar has no responsibility. We encourage you to read the privacy statements on all such sites as their policies may differ from ours.  Also, please be aware they may or may not have a quick escape button for you to leave the site quickly.

We provides digital services.

Engaging in our digital services constitutes an agreement and understanding of the privacy policy. Digital services are defined as web based chat, YouTube, Twitter, Facebook, Instagram, Flickr, Palomar blog or any Palomar website or web-based comment section. If at any time a digital service user feels that their safety or privacy may be compromised due to their use of these services, the interaction can be escalated to phone-based services by calling 405-552-1010 or by walking-in M-F from 8:00 am – 5:00 pm with the exception of the City of Oklahoma City’s recognized holidays.

You can opt out of our digital services at any time.

Palomar gives users options for non-digital services when necessary and practical. Such choices include opting not to engage in digital services and opting not to provide identifiable information during interactions with Palomar Live Chat operators. Users concerned for their physical safety and well-being are encouraged to immediately call 911. Palomar can be reached at 405-552-1010 or in person at 1140 N. We offer confidential and anonymous chat.

Our live chat services are provided by trained Palomar representatives. Chat users are asked to enter their name and other personal information to facilitate service with an operator. IP addresses are also required to facilitate a connection. Information collected from a user on a voluntary basis can include:

  •         Name
  •         Gender
  •         Age
  •         City
  •         State
  •         Zip
  •         How user heard about the service
  •         Some form of self-assessment

Palomar collects limited demographic and geo-locational information in order to provide services. Palomar defines anonymous communication as a onetime individual contact where digital services are provided between a user and Palomar representative in which no information is collected that can connect the user to the individual service interaction.

All transcripts of chats and emails are dissolved regularly. Any information that is temporarily maintained is core to our evaluation of services provided to persons contacting Palomar. A chat user’s information, including any personally identifiable information, will only be shared with persons implicitly linked to Palomar’s operations. We do not sell, trade or rent personal information that chat users provide. All staff and volunteers are required to sign and adhere to a strict client confidentiality policy.

After any chat or email session, persons contacting Palomar may be asked to complete an exit survey in order to provide valuable feedback in order to improve our services. Providing information in an exit survey is completely voluntary. Surveys may ask for contact information (e.g., email address) and for demographic information (e.g., zip code, age or income level). This voluntary feedback is also used to inform stakeholders, funders and policy-makers to improve our services.

We use software as a service and application service providers (3rd party).

Palomar will undertake an annual review of any third party privacy policies affecting Palomar services. Palomar is not responsible for changes or updates made in the interim.

We use a secure database called Salesforce to collect and store client information.

Palomar’s client information system leverages the flexibility and security of the Salesforce platform, which exceeds HIPAA regulations and complies with VAWA standards.  All clients who come to Palomar have the opportunity to go through an intake with a Client Navigator at any time, if they choose.  The Palomar intake process identifies the client’s needs, partners that could benefit them, elevated risk factors and more, in addition to collecting necessary client demographics and contact information, such as name and birthdate, if the client should choose to provide it.  Palomar only shares this collected information with anyone outside of Palomar upon the client’s written and informed consent. A client receiving services at Palomar is not contingent upon the client providing consent for Palomar to store or share their information.

If these policies change, we will let you know on our website.

We reserve the right to change, modify or add to our privacy policy to protect the ethical standards provided or to meet the changing demands of this field. Notification of any changes to Palomar’s privacy policy will be posted on our website so as to adequately inform digital service users of these revisions. We encourage you to please review it frequently.
